the Westlake Inn as the site for your upcoming
event.
In keeping with our commitment to excellence, we will do everything possible to make your event a pleasant occasion.
The following guidelines and procedures are intended to assist you and us plan and execute your functions smoothly
Please let us know if you feel that special arrangements of any kind needed to be made.
DEPOSITS AND PAYMENT We require a non-refundable deposit at the time of booking in order to secure your date and space as definite. Payment may be made
with a major credit card, cash, or cashier’s check or money order. Personal checks cannot be accepted for final payment. The final balance is due three (3) business days prior to your even with the final guarantee.
All deposits will be applied toward your final bill after all charges have been processed. Should the function be canceled for any reason, the deposit will be forfeited.
BILLING Requests for Direct Billing must be received and approved a minimum of 30 days prior to the event. A minimum revenue of $2,500.00 must be
generated per event in order to Direct Bill. Credit card information is required to guarantee payment of all functions.
GUARANTEES To be properly prepared for your function, it is essential that we receive your guaranteed number of attendees a minimum of three (3) business
days prior to the event. Guarantees for Monday and Tuesday functions will be required by 12:00 noon the previous Thursday, unless special arrangements are made. The number guaranteed will be charged in full even if
fewer guests are in attendance. An increase in the guaranteed number of attendees will be accepted up to 24 hours prior to the function, and 48 hours on weekends. The hotel will be prepared to accommodate and serve
up to a 5% increase in attendees above the guaranteed count.
MENUS Our printed menus are suggested for your consideration. However, if you prefer, our staff will be pleased to customize a menu for your specific
needs and quote pricing accordingly. Split menus (when offering your guests an entrée choice) will result in a surcharge
PRICES All prices listed on our menus are subject to change. Prices quoted for your function are guaranteed for sixty (60) days. A 19% service charge and
applicable state tax will be automatically charged on all banquet functions. These charges will be assessed to all food, beverage, audio/visual, service and miscellaneous charges. A 19% service charge will
automatically applied to all room rentals and set-up fees.
FOOD AND BEVERAGE It is the hotel’s standard policy that all food and beverage items (including liquor, wine and beer) consumed in any public area of the
hotel must be supplied and prepared by the hotel. We consider this to be our responsibility to enforce the legal drinking age laws of the State of Ohio, and we do reserve the right to refuse service.
ROOM RENTAL/FUNCTION SPACE Function rooms are assigned by the minimum number of people anticipated. We reserve the right to change groups to a room that
is more suitable for the anticipated attendance, with notification, if the attendance drops or increases. A room rental fee and/or set-up fee will be charged where applicable. Our sales and catering staff will be
pleased to assist you with an explanation of charges.
DECORATIONS
Our
Staff will be pleased to guide you in planning
function room decorations. However, the hotel
cannot permit the affixing of anything to the
walls, floor or ceiling with nails, staples,
tape or other adhesives, unless prior approval
has been granted by the Westlake Inn management.
Please consult the Sales/Catering department
for assistance in the displaying of all materials.
In addition, no open flames are permitted and
please, no glitter.
LIABILITY
The Westlake
Inn is not responsible for damage to, or
loss of any items, equipment or personal
property left in the hotel prior to, during,
or following your banquet or meeting. Security
arrangements should be made for all displays
and equipment set up prior to the planned
event or left unattended for any time during
the event. A limited amount of safe deposit
boxes are available for the storage of personal
valuables. The Westlake Inn
reserved the tight to inspect and control
all private functions. Your group is liable
for damage to the hotel’s property and premises
and will be charged accordingly.
SHIPPING AND RECEIVING If it is necessary for you to ship materials to the hotel, please observe the following instructions. Each item should be
clearly marked with the following:
1. Organization Name and Name of the Meeting Planner 2. Dates of the Function 3. Name of your hotel Sales/Catering Manager
Please be sure to notify your Hotel Sales/Catering Manager to expect your shipment.
